Typical Duties Performs analysis, maintenance and reconciliation of all financial accounts and records; Prepares journal entries for corrections and adjustments.
Works with college staff, answering questions and providing account information and data requested.
Compiles and prepares financial information for college, state, and federal reports.
Prepares monthly and year-end financial statements.
Monitors state, federal and local grants, for both fiscal activity and compliance assurance.
Reconciles grant activity with appropriate college departments and prepares grant financial reports as required.
Works with Director of Financial Aid in monthly reconciliation of student loans, PELL and other federal aid.
Requests funds when applicable.
Prepares and maintains reconciliation of the colleges investment activity.
Monitors college general fund checking and savings account activity.
Works with chief financial officer on balance transfers.
Reviews and signs-off on monthly college general fund bank reconciliations.
Monitors stale checks and process disbursements for unclaimed property.
Oversees accounting functions to ensure accurate and timely completion of bank reconciliations, payables, and receivables; assists department and college staff with problem resolution as needed.
Assists in the oversight of institutional financial internal controls.
Coordinates the annual audit; prepares complete information including detail sheets and works closely with auditors while they are on campus.
Maintains a working relationship with audit firm throughout the year.
Participates in other audit activities, including state, federal, and local grant audits.
Distributes copies of final financial aid audit reports to appropriate federal, state, and local agencies.
Assists in the annual budget process.
Serves as module lead for the ERP business office module, including general ledger, accounts payable, and purchasing.
Maintains security and assures integrity of institutional software financial applications.
Works collaboratively with IT personnel on software updates and maintaining the security of the business office module.
Creates reports within the system as required by the CFO and auditors.
Attends meetings and conferences and reviews newsletters and financial update bulletins to keep up to date with GAAP and IRS regulations and changes.
Attends meetings and serves on committees as assigned.
Supervises and reviews the performance of professional and technical staff.
Supervision includes training, delegation of work assignments, employee evaluation and discipline, and employee hire/termination, promotion and pay rate change recommendations.
Assists in creating action plans to meet department goals and objectives, as well as college goals and objectives.
Conducts periodic reviews of progress and measures against goals.
Establishes procedures for workgroup to ensure success.
Handles highly sensitive information and confidential records and materials in compliance with state and federal regulations.
Adhere to college, federal and state administrative procedures, guidelines, initiatives and directive to ensure compliance with all relevant regulations affecting college operations.
Perform other tasks of a similar nature or level as assigned.
Qualifications Minimum Bachelors degree from an accredited institution in accounting, business or related discipline Five (5) years of experience in accounting, business, auditing, or a related field Three (3) years of progressively responsible supervisory experience.
Or Any combination of education and experience that results in possession of skills, knowledge and behaviors as outlined in the positions core competencies below.
